Managing Multiple Projects: Stay Organised

Juggling multiple jobs is part of trade life. Here's how to keep everything running without dropping balls or upsetting customers.

The Challenges

  • Different jobs at different stages
  • Materials arriving at different times
  • Weather affecting outdoor work
  • Customer expectations to manage
  • Unforeseen issues disrupting plans

Basic Organisation

Job Tracking

Know what's happening with every job:

  • What stage is it at?
  • What's needed next?
  • Any blockers or waiting items?
  • When is customer expecting progress?

Method doesn't matter - app, spreadsheet, notebook - as long as you use it consistently.

Calendar Management

Book time realistically. Account for:

  • Travel between jobs
  • Setup and cleanup time
  • Contingency for overruns
  • Admin and quote preparation

Overbooking creates stress and lets customers down.

Material Coordination

Know what's needed when:

  • Order in advance - don't wait until you need it
  • Confirm delivery dates
  • Have backup suppliers for urgent needs
  • Check deliveries immediately - wrong items waste time

Communication

Proactive Updates

Don't wait for customers to chase you:

  • Confirm start dates
  • Warn of any delays before they happen
  • Update on progress
  • Explain next steps

Customers accept delays much better when told in advance.

Managing Expectations

Be realistic about timelines. Promising what you can't deliver damages trust more than giving honest but longer estimates.

Response Time

Reply to messages within 24 hours, even if just to acknowledge. Silence creates uncertainty and frustration.

Prioritisation

When Everything Is Urgent

Consider:

  • Contractual obligations and promised dates
  • Customer circumstances (are they without heating? Water?)
  • Knock-on effects (is another trade waiting for you?)
  • Commercial importance (regular customer vs one-off)

Saying No

Sometimes you need to decline work or push back timelines. Better to do this honestly than overcommit and underdeliver.

Handling Disruptions

Weather

Have indoor work available for bad weather days. Communicate with affected outdoor job customers early.

Unexpected Issues

Build contingency into schedules. When problems extend one job, you have buffer before it affects others.

Customer Delays

If customers aren't ready or cause delays, document it. Don't let their delays compress your timeline unfairly.

Tools and Systems

Digital Options

  • Job management apps (Tradify, Jobber, etc.)
  • Calendar apps with reminders
  • Note-taking apps for job details
  • Photo storage organised by job

Simple Systems

  • Dedicated notebook per job
  • Wall calendar/whiteboard
  • Physical job folders
  • Daily task lists

The best system is one you'll actually use. Complex systems that get ignored are worse than simple systems used consistently.

Review and Improve

Regular review:

  • What went well?
  • What caused problems?
  • What would you do differently?

Small improvements over time make a big difference.
